Position Purpose

The Electronic Health Record (EHR) Optimization Specialist is responsible for updating and optimizing workflows in Epic and other operational applications, as well as training and support.  They act as a liaison between leadership, health care providers, Quality and IT to ensure alignment and optimization to achieve standardized, efficient processes and workflows.  Supports enterprise operations by advancing Health Information Technology to support the growth, quality, and efficiency of the Vivent Health Medical Home. They will assist with new implementations of Epic (and other software) as Vivent Health opens new clinics/offices across the country.



Scope of Responsibilities

Vivent Health is one of the nation’s largest providers of HIV prevention, care and treatment services with a budget approaching $130 million and employing over 400 professionals.

The unique, nationally recognized Vivent Health HIV Medical Home model of care assures that everyone with HIV has access to medical, dental, mental health and social services and provides the best opportunity for patients to achieve high quality health outcomes. Vivent Health also provides aggressive HIV prevention services to gay men, injection drug users and others at the highest risk for HIV infection. 

Vivent Health currently operates in multiple states nationwide. It embraces a Market Culture to increase access to care, enhance quality outcomes and achieve and surpass financial performance expectations and has an aggressive plan to expand into additional states.

Essential Functions
  • Provides support, workflow development, and training for assigned applications, primarily the Epic EHR.
  • Collaborates with multidisciplinary team members to assess, redesign and continually improve effectiveness and productivity of operational applications.
  • Works closely with the Quality team to align workflow changes with process improvement initiatives. May also utilize information from the EHR to feedback to providers and develop systems to help achieve Quality goals
  • Maintains a collaborative relationship with Vivent Health’s Epic vendor, OCHIN.
  • Utilizes reporting resources to assess EHR competency levels of providers and staff and recommends and trains on actions to strengthen performance and increase efficiency.
  • Actively provides direct support through regular rounding (in person and virtual) with providers and clinical staff.
  • Participates in training development, delivery, go-live and elbow support for providers and clinical staff.
  • Collaborates with Software Systems Specialist to provide training and communication on upgrade changes and fulfill optimization requests.
  • Documents system issues and corrects the issue or escalates for resolution.
  • Troubleshoots problems and questions about applications and the systems in general.
  • Participates in integrated team planning sessions across the enterprise regarding Epic and other application workflows.
  • Assists in orienting and training new team members.
  • Provides appropriate and timely feedback to leadership about the status of provider and clinical staff adoption, engagement and training concerns
  • Complete any and all duties as assigned.
Required Qualifications
  • Bachelor’s degree or equivalent experience.
  • A minimum of 3 years of health care experience.
  • Strong understanding of the Epic EHR with prior experience and demonstrated proficiency.
  • Understanding of clinical workflow process analysis and design.
  • Excellent communication and interpersonal skills as well as adult learning techniques. Ability to work effectively in a multidisciplinary team. Ability to build relationships with clinicians based on trust and rapport.
  • Ability to work independently and efficiently. Strong analytical and problem-solving skills.
  • Ability to travel for training and/or to work with remote clients
  • Knowledge of and sensitivity to the HIV/AIDS patient population, and/or an eagerness to learn about this community.
  • Extensive knowledge of HIV disease and related issues, disease progression, and treatment options.
  • An Influenza vaccine is required of all new employees at the time of employment, and is required thereafter on an annual basis.
  • A tuberculin/TB skin test is required of all new employees at the time of employment, and may be required thereafter on an annual basis, depending on position.
Preferred Qualifications
  • Bachelor’s degree in Nursing or related clinical field preferred.
  • 1 year of experience in Information Technology or Clinical informatics.
  • Experience in training end-users: Project Management and Training Program Development experience preferred
  • Epic certification as a Clinical Content Builder or ability to achieve certification within 6 months (training will be provided)
  • Available to work outside of normal business hours
