Position Purpose

This person handles administrative and related duties for the Chief Human Resources Officer (CHRO), to support the effective and efficient operation of the Human Resources department.

This person is responsible for providing outstanding administrative support and follow-through, and top- notch customer service to Vivent Health employees, partners and stakeholders. They must be able to work independently, handle assignments with discretion and diplomacy, maintain a high degree of confidentiality at all times, and use sound judgment to help manage the CHRO's time. They will interact with a diverse group of people at all levels of the organization and the outside community. The position requires a passion for creating positive working relationships with both internal and external customers.


Scope of Responsibilities

Vivent Health is one of the nation’s largest providers of HIV prevention, care and treatment services with a budget approaching $130 million and employing over 400 professionals.

The unique, nationally recognized Vivent Health HIV Medical Home model of care assures that everyone with HIV has access to medical, dental, mental health and social services and provides the best opportunity for patients to achieve high quality health outcomes. Vivent Health also provides aggressive HIV prevention services to gay men, injection drug users and others at the highest risk for HIV infection. 

Vivent Health currently operates in multiple states nationwide. It embraces a Market Culture to increase access to care, enhance quality outcomes and achieve and surpass financial performance expectations and has an aggressive plan to expand into additional states.

Essential Functions

  • Organize meetings, prepare meeting materials and agendas, reserve conference rooms and coordinate the use of audio/visual equipment, catering and room set-up, as needed
  • Order resources needed for key projects
  • Assist with travel schedules and reservations
  • Provide assistance with project management, as needed
  • Assist with the production of reports using a variety of presentation formats
  • Assist with generating, downloading and updating various spreadsheets and databases
  • Assist in preparing presentations and related materials
  • Assist with maintaining departmental document management and filing systems
  • Process financial invoices and expenses, as needed
  • May organize the logistics of enterprise-wide programs for staff and external guest presenters
  • Collaborate with and support other members of the administrative team, as needed
  • Other duties as assigned

Required Experience and Skills

  • Bachelor's Degree or equivalent work experience
  • Minimum of 3 years’ experience providing administrative support to an Executive-level leader
  • Experience working within, and/or closely collaborating with, Human Resources Department and related functions
  • Experience working with highly confidential information and materials
  • Proven track record in exercising critical thinking skills and sound judgement, particularly in sensitive situations
  • Proven business proficiency in Word, Excel, PowerPoint, Publisher and Adobe Acrobat
  • Ability and willingness to work in a fast paced environment and handle multiple tasks concurrently
  • Ability to independently manage a wide variety of activities and projects to successful outcomes
  • Enthusiastic and intuitive interpersonal skills
  • Effective time management and problem-solving skills
  • Comfortable in using technology tools to coordinate virtual communications (e.g. video conferencing)
  • Excellent organizational and communication skills
  • Knowledge of and sensitivity to the HIV/AIDS patient population, and/or an eagerness to learn about this community
  • Ability to work with a diverse population
  • An Influenza vaccine is required of all new employees at the time of employment, and is required thereafter on an annual basis
  • A tuberculin/TB skin test is required of all new employees at the time of employment, and may be required thereafter on an annual basis, depending on position


Additional Preferred Qualifications

  • Strong consideration given to candidates with direct Human Resources experience or related education
  • Past HRIS and/or ATS experience useful
